When a company is sued, is bought, or is acquired by another company, the vast archives of electronic documents become a huge liability. During these activities corporations must pay the hidden communications tax - producing verified copies from their archives in response to demands resulting from litigation or regulation. Currently, when a large company is sued by or merges with another, it must pay vast sums to collect, organize, and produce (i.e., to plaintiffs or regulators) responsive electronic materials. |

Adobe's Portable Document Format (PDF) is fast becoming the standard in electronic court filings. It is currently used in a number of courts for the filing of briefs, pleadings, etc. Any file, regardless of the source, can be converted to PDF, and the integrity of the document is maintained. PDF will preserve the formatting, fonts, and images of the original document, while instantly creating a fully searchable file. The file is searchable by key word, phrase or concept without needing to first use an optical character recognition (OCR) program on paper or a tagged image file format (TIFF).
PDF is platform-independent. The viewer software needed to view PDF files is based upon Adobe's Acrobat Reader, which can be downloaded free of charge from Adobe's Web site. Any computer that has downloaded the Adobe Acrobat Reader can view and print PDF files - regardless of the operating system running on that computer. This universality makes it very easy to distribute and share electronic documents with colleagues and clients. PDF files may also be password protected in order to prevent tampering and allow for the verification of a file’s creator. When preparing a PDF for production, one may even secure the files against reproduction by disabling the ability to copy and paste sensitive information.
